JOB TITLE: Volunteer Manager & Case Coordinator

SALARY: $40,000/year

WORK CONDITIONS: The position is primarily office-based with occasional local travel to attend court hearings, meet with volunteers, and conduct home visits. Weekly attendance at court is required. There may also be rare instances of travel outside the local area for training or events. While the role is largely on-site, there are opportunities for remote work, depending on program needs and approval.

CASA of Northeast Kentucky, Inc. is a volunteer organization dedicated to the principle that every child is entitled to have a permanent home and family and to be free from abuse and neglect. CASA of Northeast Kentucky recruits, screens, trains, supervises, and supports community volunteers who are appointed by the Judge in their jurisdiction as Court Appointed Special Advocates (“CASAs”) who serve as an independent voice throughout the juvenile court proceedings until a safe and permanent home is found for each child. Our CASAs act as the representative of the abused, neglected and/or dependent child in Boyd, Carter, Elliott, and Morgan counties.

 

Job Overview

The Volunteer Manager & Case Coordinator for the Court Appointed Special Advocates (CASA) program is responsible for recruiting, training, and supervising volunteers who advocate for the best interests of children in the foster care system. This role includes providing ongoing support, mentorship, and performance evaluations to ensure volunteers are well-equipped to serve. The Volunteer Manager will work closely with staff, courts, and community partners to match volunteers with cases and ensure timely reporting. Strong organizational, communication, and leadership skills are essential for managing volunteer engagement and program success.

 

Responsibilities and Duties

Recruitment and Screening of Advocates:

Assist in recruiting prospective volunteers by identifying groups for speaking engagements.

Speak to at least one community group per quarter for recruitment purposes.

Create flyers and materials to promote new advocate trainings.

Screen all potential volunteers by conducting criminal background checks, sex offender registry checks, Cabinet history checks, and contacting at least three references.

Help maintain the program’s social media presence by posting regularly (once per week) on the public page.

Volunteer Training and Support:

  • Provide training for all CASA volunteers, including both initial training and ongoing in-service training (one per month).
  • Ensure volunteers receive 12 hours of in-service training annually to remain active (via online resources or partner trainings).
  • Mentor and provide support to CASA Volunteer Advocates, ensuring adherence to CASA’s mission and applicable state and federal laws.
  • Maintain monthly communication with all advocates for supervision and retention.
  • Provide assistance and consultation for volunteers as needed, including mentoring them through casework.

Case & Advocate Management:

  • Manage CASA Volunteer Advocates and their assigned cases, ensuring thorough documentation, review, and coordination of case files.
  • Maintain case files using Optima, track volunteer hours monthly, and ensure compliance with all reporting standards.
  • Attend court hearings weekly to represent CASA, accept new cases, supervise volunteers, and ensure proper communication with all relevant parties.
  • Edit, approve, and distribute volunteer court reports, providing support in writing quality and fact-based reports as needed.
  • Ensure advocates visit their CASA children face-to-face at least once per month or complete monthly exception forms.
  • Maintain contact with caseworkers, foster homes, and community partners on a monthly basis for case updates.
  • Supervise social work practicum students and facilitate opportunities aligned with their objectives.

Program Administration and Reporting:

  • Complete data entry into the program’s database and keep the program calendar updated with court dates, trainings, and events.
  • Record and track all statistics related to cases and children served, generating reports as requested by the Executive Director for various stakeholders.
  • Ensure advocates receive notifications for court hearings and any schedule changes.
  • Provide timely case documentation, including assigning cases to advocates, reassigning cases, and terminating advocates as needed.

Volunteer Retention and Recognition:

  • Assist in organizing and supporting the annual Volunteer Appreciation event.
  • Assist with the annual Christmas party for foster children.
  • Attend and assist with all program fundraisers and events as requested.

Other Duties:

  • Complete 12 hours of professional development training annually.
  • Participate in weekly staff meetings and case reviews with the Executive Director.

 

Qualifications

  • Bachelor’s degree in business, public administration, or social service-related field or an equivalent combination of relevant education and experience.
  • Strong interpersonal, communication, organizational, and writing skills, with the ability to work independently and adapt as needed.
  • Professional public speaking skills with a diplomatic tone and demeanor.
  • Ability to build community awareness and establish networks with other community agencies.
  • Knowledge of issues and dynamics within families in crisis, specifically related to child abuse and neglect.
  • Must be at least 21 years of age.
  • Valid driver’s license and a clean driving record.
  • Successful completion of a background check, central registry check, and pre-employment drug screening.

Preferred Qualifications:

  • Experience working with children, social workers, attorneys, and/or community-based resources.
  • Experience with home visits or similar activities.
  • Experience with CRM or ATS databases.
  • Grant Writing.
  • Experience with training individuals & groups.
